The Academic Services Officer acts as a primary resource for in-person service in the Registrar’s Office. Responsibilities include academic advising; registration; responding to a wide range of inquiries including those regarding regulations, policies, and forms; updating and editing the King’s Academic Calendar; overseeing the transfer credit and letter of permission processes and planning/support for events including Encaenia.
SPECIFIC DUTIES/ACCOUNTABILITIES:
The Academic Services Officer is responsible for the following:
•ÌýÌý ÌýActs as primary resource for in-person service in the Registrar's Office.
oÌýÌý ÌýMaintains a thorough working knowledge of all pertinent university, faculty, school, and departmental regulations, policies, and deadlines in order to assist patrons
oÌýÌý ÌýAnswers in-person inquiries regarding registration, programme and degree requirements, courses, letters of permission, student resources and services, and other student-related matters
oÌýÌý ÌýProduces, processes, and verifies forms and documents on behalf of the Registrar's Office and the University, including transcripts and academic records, confirmations of enrolment, intent to graduate forms, and letters of permission
•ÌýÌý ÌýProvides general office administrative support, including data entry, planning of meetings, letter creation, and clerical functions
oÌýÌý ÌýProcesses requests for transcripts; prepares records and forms for processing in the Â鶹´«Ã½ Registrar's Office; prepares records and forms for imaging
•ÌýÌý ÌýAssists students with course selection and registration and provides academic advising
•ÌýÌý ÌýOversees the clerical aspects of the transfer credit and letter of permission process
•ÌýÌý ÌýOrganises and assists with retention related programming including Encaenia, Matriculation, Life after Kings and First Year Advising Month
•ÌýÌý ÌýUpdates and edits the King's Academic Calendar and the 'Current Student' sections of the King's website

Qualifications:
Education – Undergraduate University degree preferred; or the equivalent in Business/Office Administration training and experience.
Experience – Five to seven years related work experience or suitable combination of education and experience is required.Ìý Good computer skills, including volume data entry skills, required.Ìý Experience with academic regulations is highly desirable.Ìý Excellent communication skills, organization skills and time management skills needed.Ìý Ability to deal with student needs and interests with empathy, an aptitude for dealing with the public, senior university officers and faculty, tact and discretion for handling sensitive, confidential and personal information, and attention to detail.Ìý Ability to work with standard office applications such as Microsoft suite particularly ACCESS and EXCEL.Ìý Working knowledge of Meeting Maker and Banner an asset.
